Experts in the field of construction and dismantling of ships, Euromaritime is well known name in in the shipping industry worldwide. The company also owns and manages a large number of barges and ships.
 
The size of the company combined with the different sailing locations posted some challenges to the organisation, being difficult to maintain the accounts always up to date and transparent. In order to solve this Euromaritime, which since 1995 has been using the financial accounting software Unit4 Multivers, also started using PaperLess on its 39 ships allowing the company to “always have a clear understanding of our accounts, even if our ships are on the other side of the world … ” said Bram Boone, Chief Financial Officer of Euromaritime.
 
 
 
Increased working pressure due to workload ups and downs
 
“While working together with Multivers, Euromaritime ran into a problem; the workload contained ups and downs, being that whenever a ship arrived to port the workload increased dramatically,” says Ton Luyk, responsible for Sales & Business Development of Unit4 Multivers to KNNS, adding that “we advised them that the solution for this would be to use PaperLess software so that they could, for example, scan and automatically extract data from invoices on the ship making it immediately visible in the company accounts.”
 
Ton Luyk also enhances that “with PaperLess software Euromaritime says they can always understand all the accounting, besides this being quick and simple to use, PaperLess is less error prone than the manual entry of invoices and enables Euromaritime to ensure a steady pace on their workload because information is sent and immediately available regardless of the ships’ location.”
 
Euromaritime faced the change to PaperLess as a challenge, Bram Boone says that “I saw the switch to PaperLess as a big step and needed two years to get used to the idea, being that one of the major problems was that although PaperLess makes it possible to scan invoices from the ships our skippers are not accountants, so KNNS helped us with the rollout of PaperLess a software that is extremely user friendly, reliable and enables us to have steady pace on our workload.”
 
Euromaritime will not go back!
 
“In order to ensure that the implementation process of PaperLess software at Euromaritime ran smoothly the deployment process was divided into two stages: the first one the rolling out of the software in the finance department and when the employees in the finance department felt comfortable enough the software was implemented throughout the remaining departments,” explains Ton Luyk, adding that he “had previously told Bram that PaperLess was very easy and user-friendly and now they have also discovered that.”
 
” It took a while before I got used to the idea of a PaperLess accounting, but I would not want to go back, ” says Bram Boone.

”Before PaperLess skippers had to periodically spend a day in the office to do the bookkeeping so that they could afterwards go back to sea and now that is no longer necessary. Now all our skippers scan the invoices while at sea and they end up in our accounts. We have experienced a major efficiency boost with PaperLess and additionally we always have a clear understanding of our accounts, from any ship, even on holidays” says Bram Boone, clearly satisfied by the choice in adopting PaperLess software.

Aberdeen Report - Best in class companies spend just 20% of laggard companies costs with invoice processing.

Lack of visibility into invoices and documents is cited in 45% of cases as the leading driver for change by companies looking at reducing the inefficiencies in their accounts payable departments, according to research made by the Aberdeen Group published in their report; “AP Invoice Management in a Networked Economy.”*
The best in class companies in the Aberdeen report found that their costs were just 20% of the laggard companies for invoice processing and that it took them just 25% of the time. These companies are renowned for investing in technology that enabled the automation of invoice receipt and workflow processes, integrating this technology into their ERP systems.
For Sage 50 and 200 PaperLess has enabled best in class organizations to put an end to inefficiencies by automating processes from the moment documents are received. Taking these actions ensured that these companies had the capability to manage a centralised invoice management process, match purchase invoices with purchase orders, receipts and contract documentation.
